Visas and entry
Because Vietnam's entry requirements shift periodically and vary depending on your nationality, we avoid quoting a fixed visa cost on this page. Share your passport nationality with us and we'll confirm what's currently required, which documents to prepare, and the lead time needed before you book.
Generally speaking, your passport needs at least six months of validity past your return date and two free blank pages, and you should have proof of onward travel and hotel bookings on hand.
Visa fees, travel insurance and international flights are not included in your trip cost unless the itinerary says otherwise.
Payment terms
- Once your trip is confirmed, 50% of the cost is payable straight away so we can secure hotels, transport and activities.
- The balance is due 7 days before you arrive.
- Payments should be confirmed by email with the transaction details attached.
- What you'll owe upfront shifts with the hotel's own policy and how busy the season is, and gets confirmed once you book.
Cancellation policy
- Cancellations are accepted by email only.
- 45 days or more before arrival — no charge.
- Due between 45 and 30 days out: 25% of the total trip cost.
- Due between 30 and 15 days out: 50% of the total trip cost.
- Due between 15 and 10 days out: 75% of the total trip cost.
- Within 10 days of arrival, the entire trip cost — 100% — falls due.
- This scale can be overridden by hotel policy or high-season blackout dates; the precise terms come with your quotation.
What you should know before you travel
A few minutes reading this before you fly will save you the odd awkward moment on the ground.
- Cover your shoulders and knees when visiting pagodas, mausoleums or the Imperial City — modest dress is expected there.
- Slip your shoes off before stepping into someone's home, a temple hall, or plenty of small shops.
- When you're handing something to or taking something from an older person, use both hands — it's read as a mark of respect.
- Some spots restrict photography — Ho Chi Minh's Mausoleum among them, along with certain military sites — so follow whatever your guide tells you.
- Haggling is expected in the markets, but leave it aside in restaurants or shops that post fixed prices.
Good to know
- Book early and domestic flights linking Hanoi, Da Nang, Nha Trang, Phu Quoc and Ho Chi Minh City typically cost less. We price these separately unless your itinerary states otherwise.
- Vegetarian, vegan and other dietary requirements can be arranged in all major cities — just let us know when you book rather than on arrival.
Frequently asked questions
When do you need my final traveller details?
Seven days before you arrive, along with the balance payment. In high season, sending them earlier helps, since hotels can release blocked rooms quickly if a booking isn't confirmed.
How is the price of my trip worked out?
It's based on your dates, group size, hotel category and the activities in your itinerary. We send a written quote once we have those details, and nothing is booked until you confirm it.
Can you handle special meal requirements?
Yes. We can arrange vegetarian, vegan or halal meals at every destination we cover, provided you tell us when you book rather than after you land.
What happens if a domestic flight is cancelled?
Our local team reworks the ground arrangements around the new schedule and lets you know straight away. Any airline charges are passed on at cost.
Is there support if something goes wrong during the trip?
Yes. A local contact is assigned to you and stays reachable for the whole trip, well beyond normal office hours.
